The 48 Cubes team began with a full workflow audit — mapping out how bookings arrived (via website, phone, and WhatsApp), how data was stored across Excel sheets and CRMs, and how reminders were handled manually. Through discovery calls with the client’s operations manager, we identified three key friction points: inconsistent scheduling, lack of follow-up after service, and no clear visibility into customer lifetime value.

Shape DESIGN

The automation system was designed in n8n to act as a central brain between the dealership’s CRM, booking forms, and messaging apps. We created a modular workflow that could scale across different service centers. Each booking triggered a data pipeline: n8n captured the request, verified service type and location, enriched customer data, and connected to an AI agent trained on the dealership’s tone and policies. The agent handled confirmation replies, rescheduling, and reminders automatically through WhatsApp or SMS. The system also tagged customers based on service history, feeding a dashboard built in Google Data Studio for management visibility.

During development, 48 Cubes built a series of connected n8n workflows that automated the dealership’s entire customer journey from start to finish. The system captured booking requests from website forms, WhatsApp, and Google Business messages, then routed them through an AI agent that confirmed appointments, suggested available time slots, and gathered any missing details. Each interaction synced directly into the dealership’s Zoho CRM, where customer records were created or updated automatically. n8n also handled all reminder and retention activity by sending service reminders 24 hours before appointments and personalized follow-ups 30 days after. Every touchpoint was logged and visualized in a reporting dashboard that showed bookings, cancellations, and returning customers. By the end of the build, communication and scheduling ran almost entirely on autopilot, with staff only stepping in for exceptions or escalations.
